How Chantel Wilson stopped losing sight of what's next on her client engagements

Chantel WilsonNetherlands
Monatir BV

Chantel runs Monatir BV. She used to track her engagements on a notepad and in an Excel list. Now each project in Kiaro is split into milestones that match her proposals, so she knows what to work on next and how her time compares with what she budgeted.

  • Milestones that match the phases in her proposals
  • Budgeted and actual time tracked on every engagement
  • A clear next step on every project
“It's very clear to me what my focus should be on next. The visibility of my progress on my client engagements has been the game-changer.”

A notepad, a spreadsheet and a growing pipeline

Each of Chantel's client engagements has its own steps and milestones. She kept track of them on a notepad or in a master to-do list in Excel.

As more projects came into the pipeline, that got harder to keep up with. She found it easy to lose sight of what needed doing next, and the volume of steps left her feeling overwhelmed.

“I was feeling very overwhelmed with all the steps and milestones of my client engagements. I would keep a list on a notepad or put it in my to-do master list in Excel. With more projects in the pipeline, it was easy for me to lose sight of what needs action next.”

Milestones that match her proposals

Chantel now sets up each engagement in Kiaro as a project with milestones. The milestones follow the phases and time she set out in her proposal, so she works from the same plan her client agreed to.

Splitting each project into phases makes the work easier for her to manage and keep under control.

“Kiaro has really helped me think through the milestones and steps needed for each engagement. These milestones now mirror the phases and my time spend mentioned in my proposals. It has helped me break down the phases of my projects into a manageable and controllable format so that I can track my time as per budgeted and agreed with my client.”

Budgeted time against actual time

Chantel logs her time against each project, and Kiaro shows how much of the budget those hours have used. She can check that against what she agreed with her client.

She treats those numbers as her key metrics, and they show her which engagements need attention. She's also using them to build her own blueprint for how she delivers work to clients.

“Managing my budgeted vs actual time provides me with key KPI metrics that need attention as I build my own internal blueprint for delivering quality work to my clients.”

Progress she can see

Chantel's engagements all sit in Kiaro now. She can see how far along each one is, and she knows what needs her attention next.
