Connect Your AIExample Prompts

Example prompts

  • Free
  • Solo
  • Team

Once your AI app is connected, ask in your own words. You don’t need to name Kiaro’s tools. These examples show what works, using made-up clients. Swap in your own.

Prompts marked (approval) come back to you in Kiaro before anything happens. See Approvals.

Getting paid

  • “What’s overdue, and how much is outstanding in each currency?”
  • “Which clients have unbilled time?”
  • “Bill Acme for their unbilled September time.” Your AI app creates a draft invoice for you to check.
  • “The Discovery milestone on the Northwind redesign is done. Mark it completed and invoice it.” Kiaro only invoices completed milestones.
  • “Add a line to the Acme draft invoice: 2 hours of extra QA at 120 an hour.”
  • “Which of my invoices are still drafts?”
  • “Send the Acme draft invoice to the client.” (approval)
  • “Issue the Northwind draft invoice so it gets a number, but don’t email it.” (approval)
  • “Send a reminder for every invoice that is more than 14 days overdue.” (approval) Each reminder is its own approval.
  • “Mark INV-0039 as paid.” (approval)
  • “How much has Acme paid me this year, in each currency?”
  • “Which of Northwind’s invoices are still unpaid?”

Time

  • “Log 2 hours yesterday on the Wireframes task in the Northwind redesign: wireframe review.”
  • “Start a timer on the Homepage copy task.”
  • “What’s my timer on right now?”
  • “Stop my timer.”
  • “How many hours did I log last week, by client?”
  • “Make yesterday’s 3-hour Acme entry non-billable.”
  • “Delete the duplicate entry I logged on Tuesday.” (approval)
  • “Submit my timesheet for last week.” (Team plan)
  • “Which timesheets are waiting for me?” Then: “Approve Sam’s timesheet for the week of 22 September.” (Team plan, workspace owner) This happens straight away: approving locks the week and emails Sam.

Clients and leads

  • “Add a new client, Harbour and Co, with Priya Shah as the contact, priya@harbour.example.”
  • “Update Priya’s email at Harbour and Co to priya@harbourco.example.”
  • “Which clients am I due to follow up with?”
  • “I’ve just called Acme. Log it and remind me to check in again in two weeks.”
  • “Give me a brief on Northwind before my call.”
  • “Add a lead: Brightside Studio, worth about £8,000, expected to close on 14 November.”
  • “List my open leads.”
  • “Mark the Brightside lead as won.” Kiaro turns it into an active client with a project.
  • “Mark the Lakeside lead as lost: they went with an agency.”

Proposals and contracts

  • “Draft a proposal for Harbour and Co from my Website Redesign template, using these notes: …”
  • “Tighten the scope section of the Harbour proposal and set the total to £12,000.”
  • “Which proposals are still waiting for a reply?”
  • “Send the Harbour proposal.” (approval)
  • “Harbour accepted the proposal. Turn it into a project.”
  • “Show me the Brightside proposal from last month.”
  • “Keep the Harbour proposal open until 30 November.”
  • “Create a contract for the Harbour site rebuild from my services agreement template, under the law of England and Wales.” Only a contract made from a template can be sent for signature.
  • “Send the Harbour contract for signature.” (approval)
  • “I emailed the Northwind contract myself. Mark it as sent.” (approval)

Projects and tasks

  • “Create a project for Harbour and Co called Site rebuild, billed hourly at 120.”
  • “Break the Harbour site rebuild into tasks: discovery, wireframes, build and launch, each due a week apart.”
  • “Which of my tasks are overdue?”
  • “Mark Wireframes as done.”
  • “Is the Northwind redesign over budget?”
  • “Add a Launch milestone worth £3,000, due 30 November, to the Harbour site rebuild.”
  • “What am I mentioned in?” (Team plan)

Weekly review and planning

  • “What’s on my plate today?”
  • “How many hours did I log this week, and how much of it was billable?”
  • “How much did I invoice and get paid in September?”
  • “Which clients’ effective hourly rate this quarter is well below the hourly rates on their projects?” Kiaro flags a client when it is under 70% of those rates.
  • “Show what’s outstanding, grouped by how overdue it is.”
  • “Find everything about the Acme rebrand.”
  • “Save these notes from today’s Harbour call as a meeting on the Site rebuild project: …”
  • “Turn the action items from last Thursday’s Northwind meeting into tasks.” The meeting must be linked to a project.
  • “Save this checklist to my knowledge base as Launch checklist: …”

Some apps also offer Kiaro’s ready-made prompts, such as a weekly review. See Prompts and in-chat views.

Tips

  • Name the client or project the way it appears in Kiaro. Your AI app looks it up.
  • Say when. “Yesterday”, “last week” and “in September” are read in your Kiaro timezone.
  • Check drafts before you send them. Invoices and proposals your AI app creates are drafts until you, or an approved request, send them.
