Free

For consultants trying out Kiaro. You get the full workflow: unlimited projects, invoices, and retainers, up to 3 active clients (leads, past, and inactive clients are unlimited), and 100 AI commands per month on the faster/lighter Haiku model. Every AI feature is available — the command bar, smart suggestions on Home, proposal drafts, email drafting — just with a monthly AI cap. Your client portal and the invoice/proposal PDFs your clients receive are rendered in the Kiaro shell (Kiaro mark, Kiaro accent purple, “Powered by Kiaro.io” footer); your business name still appears on them so clients know whose workspace they’re in. Upgrade to Solo to replace that with your own brand and connect Xero.

The 30-day check-in

Once your workspace has been on the Free plan for 30 days, the workspace owner sees a short thank-you the next time they open the dashboard. It lists what the Solo plan adds and offers two buttons: Upgrade, which takes you to Settings -> Billing, and Stay on Free.

It appears once and never again, whichever button you press. Closing it counts as staying on Free. Free workspaces are not time-limited and nothing changes at 30 days — the message exists only because plenty of people never find out what the paid plans include.

Workspaces that have already been on a paid plan or a trial don’t see it, and neither do beta or lifetime accounts.

Solo

For established solo consultants running a real practice. Unlimited clients, projects, and AI commands on Kiaro’s stronger Sonnet model. White-label — your logo and brand accent colour replace the Kiaro shell on the client portal and on every invoice / proposal PDF your clients receive — plus Xero accounting sync. This is the main reason to upgrade from Free: the workflow itself doesn’t change, but your clients see your brand, not Kiaro’s, and your books stay in sync. 100 GB storage and priority email support.

Solo is a single-user plan. If you need to collaborate with others, see Team.

Team

For small teams and agencies. Everything in Solo, plus team members with role-based access (Owner, Admin, Member), an Inbox surface for comments and mentions, and the weekly timesheet submit-and-approve flow.

Team is billed per seat at $29/seat/month, with a 2-seat minimum ($58/month floor). You can have up to 25 seats self-serve; teams larger than that should contact us at support@kiaro.io.

How Team billing works

• You are billed $29 per seat per month. The 2-seat minimum means your starting cost is $58/month regardless of how many seats are occupied.
• Adding seats is prorated and charged immediately for the remainder of the current billing period.
• Reducing seats takes effect at your next renewal. You cannot drop below 2 seats; to go below that, downgrade to Solo.
• Storage scales automatically with your seat count: 100 GB per seat (a 2-seat team gets 200 GB; a 10-seat team gets 1 TB).
• Up to 25 seats are available self-serve. For larger teams, contact support@kiaro.io.
• Every pending invite occupies a seat until it is accepted or revoked. You can revoke pending invites from Settings → Members to free up seats.

AI commands

Every interaction with the AI command bar counts as one command. This includes asking questions, creating entities, generating proposals, and drafting emails.

• Free: 100 commands/month (hard cap)
• Solo: Unlimited
• Team: Unlimited

Annual billing

Both Solo and Team offer annual billing at 2 months free (you pay for 10 months instead of 12). For Team, annual pricing is $290/seat/year ($24.17/seat/month). You can switch between monthly and annual billing from Settings -> Billing at any time.

Free trial

Every paid plan comes with a 30-day free trial. No credit card required. You start a trial by picking a plan on kiaro.io/pricing  when you sign up. Once you are in the app, Settings → Billing is where you upgrade to a paid plan.

Team trial specifics

When you start a Team trial:

• You can invite up to 25 teammates during the trial, regardless of the seat count you picked on the pricing page.
• Your Members page shows “N of 25 seats used during your trial” so you always know where you stand. The same page also tells you “You’ll be billed for X seats when you subscribe” — X is whichever is largest of (the seat count you picked on the pricing page, your current member count, the 2-seat minimum), so the predicted bill always reflects what you’ll actually pay.
• The Billing page mirrors the same projection: while trialing, the Current Plan card shows your projected per-seat subtotal so you know exactly what subscription will cost when the trial ends.
• When the trial ends and you subscribe, the LS checkout is pre-loaded with the seat count you actually need. You can still bump it higher at checkout if you want room to grow.
• You only pay for the seats you commit to at subscription time, not the number you picked on the pricing page.

If the trial ends and you do not subscribe, your workspace drops to the Free plan. You keep read access to all your data; you just cannot create new resources beyond the Free limits until you upgrade again. Active clients above the 20-client cap become read-only; they are not deleted, and reactivating them counts toward the cap. Client-facing PDFs, emails, and the portal switch back to the Kiaro-branded shell.
