AI Features
Kiaro includes built-in AI tools to help you work faster. Each tool is designed for a specific task in the consulting workflow.
Available AI tools
AI tools are accessible directly from the pages where they’re most useful, no separate AI section to navigate to.

All AI tools are also accessible via the AI command bar (Cmd+K / Ctrl+K).
AI commands
Every AI interaction counts as one command. Your plan includes a monthly command allowance:

Commands reset at the start of each billing cycle.
On the Free plan, once you’ve used all 100 commands, the AI command bar lets you know and suggests upgrading to Solo.
On Solo and Team plans, if you exceed the soft limit, the AI gracefully shifts to faster, lighter models. Response quality may be slightly less detailed, but there is never a hard cutoff — the AI keeps working.

Disabling AI
The workspace owner can disable all AI features from Settings → Workspace. When disabled:
- The AI command bar input is muted and shows a message with a link to re-enable
- The floating AI button (bottom-right corner) is hidden
- The dashboard command bar shows a banner explaining that AI is disabled
- All features remain accessible manually via the sidebar, nothing is lost
Non-owner team members see a message to ask their workspace owner to re-enable AI.
How AI features work
- Time Estimation uses fast, lightweight AI for instant responses
- All other tools use advanced AI for higher-quality generation
- On the Free plan, all AI tools use a lightweight model
Your workspace data is only processed when you explicitly use an AI tool. AI tools have access to your workspace data (clients, projects, tasks) to provide relevant, contextual output.
All AI-generated content includes a disclaimer: “Kiaro AI can make mistakes. Please review before confirming actions.”
AI output preview
All AI tools stream their output in Markdown. You can toggle between Preview (rendered) and Markdown (source) view using the tabs at the top of the output panel. Copy the source for use in other tools, or use the rendered preview for review.
Proposal style consistency
To ensure your proposals follow a consistent voice and structure across your workspace:

Style Guide, Open the collapsible “Proposal Style Guide” section on the AI Proposal Drafter page. Write your preferred tone, structure rules, and formatting preferences. These guidelines are injected into every proposal prompt automatically.

Past proposals as examples, When you save a generated proposal, it can be used as a style reference for future proposals. The AI reads your most recent saved proposals and matches their tone, structure, and voice. The more proposals you save, the more consistent the output becomes.
Both features work together: the style guide provides explicit rules, while past proposals provide implicit style matching.
Saving AI output
Proposals
After a proposal is generated via the AI, you can save it directly to the Proposals section. The proposal is linked to the client and project you selected during generation. When saving, the AI also attempts to extract structured pricing line items from the Investment section of the generated content. Once saved, you can edit the content and pricing, preview, download as PDF, and send it to clients.
If you prefer not to use AI commands, you can also create proposals from built-in templates or from scratch. Templates are free and do not count toward your monthly AI command allowance.

Knowledge Base articles
When using the KB Auto-capture tool, generated articles can be saved directly to the Knowledge Base with one click. Saved articles are automatically associated with both the project and its client, making them easy to find later.
Meeting notes processing
Paste a meeting transcript or type your notes, and the AI extracts a structured summary, action items with assignees and due dates, key decisions, and follow-ups. Action items can be converted to project tasks with one click.
Meeting context is automatically included when generating proposals for the same client, giving the AI relevant background from your conversations.
