Reports and task threads

  • Free
  • Solo
  • Team

Once you connect an AI app to Kiaro, it can answer questions about your numbers. It does not add anything up itself: Kiaro works out the totals and hands them over. The time and rates answers use the same calculations as the Reports page in Kiaro. The revenue and invoice aging answers come from your invoices, which the Reports page does not show, so see them on the Invoices page.

What you can ask

You sayReport
”How many hours did I log in September, and how much was billable?”Time
”Which clients took most of my time this quarter?”Time
”How much did I get paid last month?”Revenue
”What did I invoice Acme this year?”Revenue, for one client
”Who owes me money, and how late is it?”Invoice aging
”What’s my effective hourly rate on Northwind?”Rates and budgets
”Which projects are over budget?”Rates and budgets
”What did the team say on the homepage copy task?”Task comments (Team plan)

How the numbers work

  • Dates are yours. Ranges use your timezone, from the first day to the last day you give, and both days count. Leave the dates out and you get this month so far. A range can be up to five years.
  • Paid is net of refunds. Revenue counts an invoice as paid on the day it was marked paid, with any refund taken off. Invoiced is what was issued in the range and sent, overdue or paid, at its full total. Drafts and voided invoices are left out.
  • Each currency stays separate. If you bill in euros and dollars, you get a euro total and a dollar total. Kiaro never converts or adds them together.
  • Time is in minutes. Your AI app can turn them into hours for you.
  • Totals cover everything. Lists of clients or projects show the top ten (per currency, for revenue) and say how many more there are, but the totals include all of them.
  • Sample data is left out. The sample records Kiaro can add to a new workspace are never counted.
  • Invoice aging is always as of today. It covers every invoice that is sent or overdue, grouped by how many days past due it is. It cannot be narrowed to one client or project; ask your AI app to list that client’s invoices instead.
  • Narrow it down. Time, revenue, and rates and budgets can be limited to one client or one project. For revenue, a project only counts invoices linked to it.
  • There is no profit report. Kiaro does not track costs or expenses, so it cannot tell you profit or margin. Rates and budgets shows what Kiaro does know: what you earn per hour against the hourly rates you set, billable time not yet invoiced, and whether projects are within budget.

Task comments (Team plan)

  • Team

Your AI app can read the whole comment thread on a task, oldest first, a page at a time, with mentions shown as names. A comment where someone marked the thread as read shows as that, with no text. It can reply with a new comment, which works the same as posting one in Kiaro. See Tasks and comments for the rest of what it can do with tasks.

  • Long comments are shortened. A comment over 500 characters is cut and marked as shortened. Your AI app can ask again for the full text.
  • Comments are treated as text to read, not instructions. Kiaro marks what teammates wrote so your AI app does not act on it as if you had asked.
  • Team plan only. On Free and Solo your AI app does not see this tool.

Good to know

  • Reports never change anything. None of the report questions on this page change your workspace, so none of them need your approval.
